Terms of Service

These terms cover studio sessions, post-production, delivery, revisions, cancellations and how long we keep your files. Booking a session means you accept them.

1. Your session

1.1 We recommend arriving no earlier than 5 minutes before your session start time, as we often run back-to-back bookings and cannot accommodate early arrivals. If you would like extra prep time with your guests there are plenty of good coffee shops nearby — Hardware is our favourite.

1.2 We suggest using the first 10–15 minutes of your session to get comfortable and settled in before recording. This time is there for you to relax, adjust, and make any changes to the studio setup.

1.3 If you have multiple guests, we recommend they arrive together. It minimises disruption and gives your guests a chance to meet each other first.

1.4 As we often have back-to-back sessions, your producer may give you a 10-minute warning before the end of your session so you can wrap up without rushing. If your session runs over by more than 15 minutes, you will be billed in 30-minute increments.

1.5 As well as making sure you sound and look good, your producer will handle refreshments and set changes during your session, so please allow time for these.

2. Post-production

We provide standard podcast post-production with every session.

2.1 Standard podcast post-production includes:

  • Multi-camera switching for dynamic visual content
  • Colour correction and white balance for visual consistency
  • Editing to remove a reasonable number of re-takes, pauses or interruptions
  • Basic audio cleanup to remove a reasonable number of coughs, sniffles and background noise
  • Professional audio mixing — compression, equalisation, noise removal, de-essing and limiting
  • Audio mastering to meet industry loudness standards
  • Integration of your brand assets: intros, outros, ads, logos and music

2.2 Additional editing requests. Standard post-production is designed for podcast-style recordings — continuous conversation, interviews or storytelling with minimal retakes. If your recording needs significant editing beyond that (an excessive number of retakes, extended pauses, or non-podcast video with line-by-line reads), additional charges may apply. We will discuss it with you before proceeding.

2.3 Non-standard editing or video production. If your recording resembles a structured video production — scripted content, YouTube-style video, or frequent cuts and line-by-line reads — it may fall outside standard podcast post-production and be classified as video production, which can require additional time and resources.

3. Delivery

3.1 Our standard turnaround time for post-production is 5 working days from the recording date.

3.2 If you need expedited delivery we offer an express service for an additional 25% of the session fee. This must be agreed before the recording.

3.3 For data security and confidentiality, we deliver your content only to the primary contact on the booking. To send it to anyone else we need written permission from that contact.

4. Content revisions

We include a 14-day revision period with up to 2 rounds of revisions.

4.1 Revision period. You have 14 days from the date you receive your final files to request tweaks or adjustments. After that we are still happy to help, but a late revision fee plus VAT may apply if the data is still accessible. Because of the data retention limit below, revisions may not be possible at all once the period has passed — review your content promptly.

4.2 What counts as a revision. A simple edit or adjustment that could have been addressed during the recording or the initial edit: trimming sections, adjusting sound, or minor visual changes. We allow a reasonable number; if requests become excessive or significantly change the original scope, additional editing fees may apply.

4.3 Requesting a revision. Please submit requests in writing. A voice note is fine as long as you follow up in writing. Include specific timestamps or clear detail — general requests such as “remove all the umms” cannot be accepted without further clarification.

4.4 Turnaround. We aim to complete revisions within 3 working days of receiving your request. If the request is unclear, those 3 days start once the missing information is provided.

5. Cancellations and rescheduling

5.1 For sessions shorter than 4 hours, you are entitled to a full refund or a full reallocation if you give at least 3 working days’ notice. Inside that window, a 25% session fee is charged.

5.2 For half-day (4 hour) or full-day bookings, you must give at least 5 working days’ notice for a full refund or reallocation. Inside that window, a 25% session fee is charged.

5.3 For cancellations or rescheduling within 1 working day, a 50% session fee applies.

5.4 In the event of a no-show without notice, the full session fee is charged — the studio has been set up and a producer assigned to you.

5.5 Cancellations must be made in writing by email to [email protected].

6. Data retention

6.1 Unlimited Podcast Bangkok maintains a data retention policy governing the storage and handling of data, including podcast recordings, session files and client information. You agree to abide by its terms.

6.2 We retain data for 14 days. You are responsible for downloading and keeping copies of anything you need within that period.

6.3 By making a booking you acknowledge this policy. We handle your data in accordance with applicable data protection and privacy law, and are not liable for loss or deletion of session files beyond the retention period. See our privacy policy for how we handle personal data.

7. External sounds

7.1 Despite our soundproofing and noise-removal tools, we are not responsible for external sounds beyond our control, including sirens, fire alarms and occasional sounds elsewhere in the building.

7.2 We recommend turning off mobile phones and removing chewing gum before recording — the easiest way to lose your listeners.

8. Disclaimers

8.1 We are not responsible for vehicles or personal belongings brought onto or left on the premises during your session. Please take appropriate precautions.

9. Promotional usage

9.1 We reserve the right to use content produced for you, including images and video, for our own marketing and promotional purposes — for example showcasing your podcast in our portfolio. You grant us a non-exclusive, royalty-free licence to do so without further compensation.

9.2 During sessions we may take behind-the-scenes photos or video for marketing. By attending, you consent to this.

9.3 You may withdraw consent at any time by telling us in writing, and we will stop using new material for promotional purposes going forward.

10. Licensing and rights

10.1 Any third-party content edited into your podcast — images, video, music — is your responsibility in terms of licensing and rights. You confirm you own the necessary rights, licences and permissions. We are not liable for copyright infringement or legal issues arising from third-party content.

11. Personal belongings in the studio

11.1 Clients on Monthly Production Plans may store personal items such as podcast signs, books and branded mugs in the studio.

11.2 By storing items, you consent to others using them as props during their sessions or for studio marketing.

11.3 We take reasonable care of stored items but are not responsible for damage or wear and tear.

11.4 We may ask you to collect your items, for example for studio maintenance or relocation, and you must do so within a reasonable time.

11.5 If you downgrade from a Monthly Production Plan, stored items must be collected by the end of your plan period. We will notify you by email and allow a grace period of 7 days, after which uncollected items may be disposed of.
